How to hand your content admin to Claude or ChatGPT and keep the final say on what gets posted
Connect Claude or ChatGPT to Clipflow once, give it your rules, and use it to create projects, draft posts and report on your content.

Run your content from the chat you already have open
You finish a client call with four content ideas in your notes. By Friday they are still in your notes, and another week has passed without a post. With Claude or ChatGPT connected to Clipflow, you paste those notes into a chat and ask for what you want. The projects appear in Clipflow with your editor on them, and the Instagram drafts wait for your review.
This guide covers the setup you do once and the rules that keep the assistant useful. After that, pick the guide that matches your week.
| If this sounds like you | Start with |
|---|---|
| “Good ideas come up in meetings and then nothing happens.” | Turn meeting notes into projects and drafts |
| “I keep forgetting to post.” | Fill an empty content week |
| “I never know what is due or what is stuck.” | Get a weekly content briefing |
| “We made one good video and got one post out of it.” | Turn one video into a week of posts |
| “We post all the time and nothing is growing.” | Find what is working |
Set it up once
- Connect your assistant. Follow the steps for Claude or ChatGPT. Pick whichever you already pay for. Claude is the better fit if you want a briefing to arrive on a schedule, which is covered below.
- Let it make changes. A new connection can only read. To create projects and drafts, an organization admin gives you the Write access level and ticks Create and edit posts and Create and edit projects. The steps are in Let the connection make changes.
- Give it your rules. Paste the block below into a project’s instructions in Claude or ChatGPT, then keep your Clipflow chats in that project. If Clipflow is not available inside a project, paste the block at the top of the chat instead.
You help run content for [business name] in Clipflow. Work in the [organization name] organization unless I say otherwise.
Our main channels are [Instagram and YouTube]. [Name] edits our videos, so add them to video projects unless I name someone else. Put drafts in the project I name, or ask me which project to use.
Write captions in this tone: [describe it, or paste two captions you like]. Do not use hashtags or emoji. Never invent numbers, customer names or results. If you need a fact you do not have, ask me.
Before you create or change more than one thing in Clipflow, list what you plan to do and wait for my OK.
The last line matters most at the start. Your assistant cannot delete anything in Clipflow, so a wrong batch of drafts is something you remove by hand. Once you trust the results, drop that line and let it run.
What your assistant can do, and what stays with you
| Your assistant can | You do this in Clipflow |
|---|---|
| Create and edit projects, and set their priority, status, date and labels | Mark a post Ready, which is the step that sends it out |
| Add team members to a project | Delete anything, although it can archive a project |
| Set up a project from a project template, including its task list | Edit a post that is already Ready or Done |
| Draft posts with a title, caption, tags, date and channel | Add or tick off individual tasks |
| Attach media that is already in Clipflow to a draft | Leave comments on media or reply to feedback |
| Read your calendar, analytics, transcripts and review comments | Edit a video, or create one from scratch |
Assignment works at project level. A person added to a project is on every post in it, and a post has no assignee of its own.
Every post your assistant creates is a Draft, so nothing reaches your audience until someone marks it Ready. If the channel is on Automatic Posting with time slots set, marking it Ready is all that is left to do. Clipflow keeps the date on the post, or gives it the next open slot if it has none, and publishes it. Your part becomes one pass through Review → Posts, reading each caption and pressing R on the ones you like.
Run it without opening a chat
Clipflow does not run these prompts on a timer. There are two ways to take yourself out of the loop.
When the work starts inside Clipflow, use Automations. If you want posts drafted every time a video is approved, an automation does that on its own, with no chat involved. Use it for anything that should happen every time.
When the work should happen on a day of the week, use your assistant’s scheduled tasks. Claude’s paid plans can run a saved task hourly, daily or weekly, and it keeps running while your computer is asleep. ChatGPT also has scheduled tasks, although a custom app added through developer mode may not be available in them. The weekly briefing is the best one to schedule first, because it only reads. A scheduled task that writes to Clipflow may stop and wait for your approval, so test it by hand before relying on it.
Frequently asked questions
Can Claude or ChatGPT publish a post without me?
No. There is no way for an assistant to publish a post or mark it Ready. It can only create drafts and edit posts that are not yet Ready.
Does my team need to connect anything?
No. Only the person running the assistant connects it. Everyone else sees the projects and drafts in Clipflow as usual. Changes are made as you, so you own the projects it creates and the people you name join as editors.
Can it see all of my organizations?
It reaches only the organizations you approve when you sign in. If you work across more than one, name the organization in your rules so nothing lands in the wrong place.
What if it says it is not allowed to create something?
The connection is still on read permissions, or your access level is Read. See Let the connection make changes.
