Build project templates with tasks, pages, and defaults your team can reuse.

How to Create a Project Template

1. Open Your Organization

You can access your organization settings by:

  • Clicking Organizations in the sidebar, or
  • Using the organization switcher at the top Inside the organization, you’ll find the Templates area where project templates are managed.

2. Create a New Template

Click Create New Template and give it:

  • A name (e.g., “Project Template”)
  • An outline (for scripts, points, or structured instructions you want every project to begin with) You can add multiple points or sections inside the outline to guide your process.

3. Set Default Labels

You can set default labels such as:

  • Content type (e.g., Tutorial, Vlog, Short)
  • Category (e.g., Evergreen)This helps keep new projects consistently tagged.

4. Save the Template

After saving, the template will appear marked as a Project Template, making it easy to recognize and reuse.


Adding Channels and Team Members

Assign Channels

You can attach channels to the template, such as:

  • YouTube
  • YouTube Shorts
  • Instagram
  • TikTok Any project created from the template will automatically include these channels.

Assign Team Members

You can optionally assign default team members based on role or responsibility. This can be helpful for consistent workflows, although many teams prefer assigning by skill rather than person when the actual project is created.


Creating the Task List for Your Template

Add a Task List

Inside the template, click Create Task List. You’ll see default sections you can rename or replace.

Common examples:

  • Sketch Thumbnail
  • Draft Script
  • First Edit
  • Review
  • Publish

Configure Each Task

Inside each task you can:

  • Assign a person or assign by skill
  • Add due dates (relative to the project schedule, if needed)
  • Add SOP/instructions
  • Add workload points
  • Add or remove sections You can also create new sections at the bottom to structure your workflow however you prefer.

Using Your Template

Once created, your project template becomes reusable. Any new project built from it will:

  • Pull in your outline
  • Apply your labels
  • Include your channels
  • Bring in your task list
  • Keep your workflow consistent across your entire team
